Job Summary:
The College Accountant is a key position within the College Administrative Division. Reporting directly to the Director for Administrative Division, the College Accountant plays a crucial role in managing financial transactions, ensuring compliance with accounting principles and regulations, and supporting the financial planning and reporting processes of the college.
Duties and Responsibilities:
1. Financial Management and Reporting:
- Prepare and maintain accurate financial records, ledgers, and reports of the college.
- Perform month-end and year-end closing processes, including reconciliations and financial statement preparation.
- Prepare financial reports, budgets, and forecasts for the college administration and management.
2. Accounts Payable and Receivable:
- Manage the college's accounts payable function, ensuring timely and accurate processing of invoices and payments.
- Monitor and track accounts receivable, working closely with relevant departments to ensure timely collection of funds.
- Maintain vendor and supplier relationships, negotiating terms and resolving payment-related issues.
- Perform regular reconciliation of accounts payable and receivable balances.
3. Budgeting and Financial Planning:
- Collaborate with the finance team and other departments to prepare the annual budget for the college.
- Support departments in budgeting, ensuring adherence to established guidelines.
4. Financial Compliance:
- Ensure compliance with accounting principles, regulations, and standards.
- Maintain up-to-date knowledge of relevant financial regulations and reporting requirements.
- Assist in the preparation of financial audit schedules and liaise with external auditors.
- Collaborate with the Internal Audit and Risk Management Officer to address any audit findings and implement corrective actions.
5. Financial Systems and Software Management:
- Oversee the implementation and maintenance of financial systems and software.
- Collaborate with the ICT Management Officer to ensure accurate integration of financial data with relevant systems.
- Provide training and support to end-users on financial software and tools.
- Continuously assess financial systems and software to identify improvements and streamline processes.
6. Collaboration and Stakeholder Management:
- Collaborate with the Finance Officer, Human Resources Officer,Project Officer, ICT Management Officer, and
- Internal Audit and Risk Management Officer to ensure cohesive and streamlined financial operations.
- Provide financial expertise and guidance to colleagues and stakeholders across the college.
- Serve as a financial advisor to department heads
7. Qualifications and Skills:
- Bachelor's degree in accounting, Finance, or a related.
- Proven working experience as an Accountant or in a similar financial role, preferably in an educational institution or non-profit organization.
- In-depth knowledge of accounting principles and regulations, including generally accepted accounting principles
- Proficiency in financial management software and tools.
- Effective communication and interpersonal skills, with the ability to collaborate and build relationships with various stakeholders.
- Strong ethics and integrity, with a commitment to ensuring financial accuracy, transparency, and compliance
